Billing and invoicing for media production
Everything you've tracked but not yet billed, in one place. Turn it into invoices, send them, and see what's paid and what's overdue.
Sales invoices — Draft, sent and paid invoices with their due dates
Stop losing billable work between the job and the invoice
In production, billable work slips through the gap between the people doing the job and the people sending the invoices. Overtime goes unbilled. Extras get forgotten. Invoices go out late.
Mediawork closes that gap. Work tracked on a job lands in the unbilled work view, and invoices are built from it directly. Everything is entered once.
See all unbilled work
One view of every tracked entry that hasn't been invoiced yet, across all your jobs and clients.
Billing due, in progress and billed
Grouped by title and by account.
The detail behind every total
Open any job to see the tracked entries waiting to be billed.
Invoices built from tracked work
Pick the tracked entries to bill and Mediawork builds the invoice. Overtime and discounts come through as their own lines, so the client sees exactly what they're paying for.
Blank invoices too
Start from scratch and edit draft lines freely.
Client reference on the invoice
Such as a purchase order number, with the job and service on every line.
Tax per line
Each tax rate totalled separately, with gross totals.
The client's currency
One currency per invoice, on plans with multi-currency.
Send, chase and get paid
Email the invoice to the client's billing contacts from Mediawork, with a note and anyone else copied in. The invoice number is assigned when it's sent.

Voids follow through
Void an invoice in Mediawork and it's voided in Xero.
Paid status comes back
Invoices paid in Xero show as paid in Mediawork.
Billing runs and CSV exports
Prefer to keep your accounts package in charge? Billing runs export tracked work as CSV and keep a record of what was billed.
Xero-ready or generic CSV
Import into Xero or any accounts package that takes CSV.
Exported, billed or void
Every run keeps its status, so you know what's done.
Manual runs
Record billing you handled outside Mediawork.
Part of the job, not a separate system
Billing shares the same jobs, clients and rates as your quotes, schedule and cost tracking. Finance sees what operations did, without asking.
Rates from the quote
Tracked work carries the rate agreed on the quote or the client's rate card.
Billing details on the account
Billing contacts and addresses stored once, used on every invoice.
Billing questions
How are invoices created in Mediawork?
From tracked work. As a job runs, work is tracked against the quote. When you're ready to bill, choose the tracked entries in the unbilled work view and Mediawork builds the invoice. You can also start a blank invoice.
Does Mediawork integrate with Xero?
Yes. The Xero integration is a paid integration. It pushes invoices and contacts to Xero, pulls your chart of accounts and tax rates, and reads paid status back. Without it, billing runs export Xero-ready CSV files.
Does it work with other accounting software?
Xero is the only direct integration today. Billing runs also export generic CSV files, which most accounts packages can import.
Can I invoice in different currencies?
Yes, on plans that include multi-currency. Each invoice is in one currency, with tax calculated per line.
How do I keep track of overdue invoices?
The invoice list has tabs for draft, unpaid, overdue and paid invoices. Invoices nearing their due date are flagged, and paid ones show whether they were paid early or late.
